How to deposit cash at the bank

Storing cash at the organization's cash desk in excess of the established limit is not allowed, except on salary payment days (paragraph 8, 9, paragraph 2 of Bank of Russia Directive No. 3210-U dated March 11, 2014). Therefore, excessively accumulated cash, incl. Proceeds from the cash sale of goods must be handed over to the bank where the organization has a current account.

An organization deposits cash into a bank, as a rule, through its employee (for example, a cashier) or a specialized organization - a collection service.

How to transfer cash to a collector

To transfer cash to the bank through a collector, a forwarding statement for the bag 0402300 is drawn up, which is a set of documents consisting of (clause 2.4 of the Regulations, approved by the Bank of Russia on April 24, 2008 No. 318-P):

  • statements for the bag;
  • invoice for the bag;
  • receipts for the bag.

In this case, the organization, as confirmation that the collector accepted the bag with cash from it for transfer to the bank, remains with a receipt for the bag, which must bear the signature of the collector employee and his stamp.

In addition, when transferring cash to the collector according to the conveyance sheet, a cash expenditure order (RKO) is issued in the usual manner according to form No. KO-2 (Decree of the State Statistics Committee of August 18, 1998 No. 88). It is drawn up in the name of the person (usually the cashier of the organization) who formed and handed over the bag of cash to the collector (Letter of the Bank of Russia dated October 16, 2015 No. 29-1-1-OE/4065).

How to record the delivery of money to a collector in accounting

The delivery of money to the collector is recorded using an accounting entry using account 57 “Transfers in transit.” At the same time, on account 57, the movement of funds in foreign currencies should be taken into account separately (Order of the Ministry of Finance dated October 31, 2000 No. 94n).

Based on the receipt for the bag and RKO, the following entry is made:

Debit of account 57 - Credit of account 50 “Cash” - Cash was transferred to the collector for crediting to a bank account.

Upon receipt of funds to the organization’s account, an accounting entry is made based on the bank statement:

Debit of account 51 “Currency accounts”, account 52 “Currency accounts” - Credit of account 57 – Cash was credited to the organization’s account.

Can they refuse to open an account in Moscow?

The development of a bank directly depends on the composition of the client base served by the financial institution. For this reason, any application submitted by a business representative in Moscow is carefully considered in order to provide the fullest possible range of services.

If a client applies to connect to a cash settlement service, with a high probability the bank will not fail to take advantage of the opportunity to gain more profit and increase turnover.

In some cases, a financial institution has to refuse services.

This happens if:

  • an incomplete list of documentation is provided;
  • there is missing information about the client or it has not been confirmed;
  • there are claims from the Federal Tax Service and restrictions have been imposed;
  • temporary technical difficulties arose;
  • doubts have arisen about the client and the legality of his activities;
  • there are suspicions of involvement in terrorism and extremism.

If the bank refused to open a current account, then there were compelling reasons. Contact your financial institution to find out why your application was rejected. The department employee will tell you what needs to be corrected.

If the opening of an account and the execution of financial orders is refused after correcting the shortcomings, they file a complaint with the Central Bank of the Russian Federation, the main supervisory authority over banking institutions in Russia, or try to issue a cash settlement in Moscow in another bank.

If all documents are in order and the activity is legal, the bank has no right to refuse the request to open an account and connect to services. To avoid problems, it is worth checking in advance the documents and information submitted to the institution for verification.

Accounting. Cash collection: how to reflect it in accounting

There are two ways to deposit cash proceeds to the bank: yourself at the bank’s cash desk or through the collection service of a credit institution. The organization enters into an agreement for the collection of funds, so that the collector takes the cash and transfers it to the organization's current account. How to record cash collection in accounting?

The cashier prepares cash and documents for the arrival of collectors:

  • transmittal sheet,
  • invoice for the bag,
  • receipt for the bag.

The collector is required to present the cashier with an identity card and a power of attorney for cash collection. He gives the cashier his appearance card and empty bag.

The cashier gives the collector a sample of the seal, a bag with cash, an invoice and a receipt for the bag. The collector checks the integrity of the bag and seal, the seal's compliance with the existing sample, the correctness of filling out the invoice for the bag and the receipt for the bag.

The cashier of the organization fills out the appearance card. If there is an error on the card, the incorrect entry is crossed out and certified by a signature. The collector is prohibited from making entries on the appearance card.

The collector checks the correspondence of the amounts of cash indicated on the appearance card, the invoice for the bag and the receipt for the bag, as well as the bag number indicated in these documents.

When accepting a bag of money, the cash collector signs the receipt, affixes a stamp, the date of receipt and returns the receipt to the cashier. The collector takes the deposit card, the waybill and the bag with the money and the conveyance slip with him.

If the collector discovers a violation of the integrity of the bag or seal, or the statement was drawn up incorrectly, then all the shortcomings must be corrected with him, or the collector leaves and arrives again, at a time convenient for him. In the appearance card, in the “Repeated arrivals” section, the cashier of the organization must make an appropriate entry.

If a collector comes for cash, and the cashier refuses to give him cash, he must write on the appearance card about the refusal and its reason and certify the entry with his signature.

Registration in accounting

After handing over the cash for collection, the cashier is left with a receipt for the bag, based on which the cash register is drawn up. The Bank of Russia in the Letter of the Central Bank of the Russian Federation dated October 16, 2015 No. 29-1-1-OE/4065 explained how to fill out the cash register for the collected amount of cash:

  • In the “Issue” line, the full name of the cashier who generated and handed over the bag of cash to the collector is indicated.
  • In the “Attachment” line, indicate the details of the primary document (date and number) - the receipt for the bag.

The collector does not sign the cash settlement; his data is not indicated in the order. The cashier also makes an entry in the cash book based on the issued consumables.

In accounting, the following entries are made:

Debit 57 “Transfers in transit” Credit 50 - funds were transferred to the collector for crediting to the current account (based on the receipt for the bag).

Debit 51 Credit 57 - money has been credited to the current account (based on the statement).

Cash collection services are classified as other expenses in accounting.

Debit 91.2 Credit 60 - collection services are reflected.

Debit 19 Credit 60 - VAT on collection services is reflected.

Tax accounting

Collection services are classified as non-operating expenses under OSNO in tax accounting.

Under the simplified tax system (income - expenses), collection refers to expenses associated with paying for bank services and reducing the tax base.

Which banks provide the most favorable conditions for cash settlement services?

Remember how we chose a bank where you can get profitable debit cards with interest on the balance? Rules for filling out an expense cash order (form KO-2)

Compliance with cash discipline is one of the most important responsibilities of any legal entity engaged in business activities. To do this, he has to fill out special documents that record both the receipt and expenditure of money at the cash desk.

Such documentation includes incoming and outgoing cash orders (PKO and RKO), cash books.

The procedure for filling them out is strictly standardized and if it is not followed sufficiently, you can run into trouble with the inspection authorities. So that entrepreneurs can avoid this and fully understand what they are dealing with, the following information is offered.

What is an expense cash order (form KO-2)?

Form KO-2 or RKO is the most important document in the field of cash discipline. Unlike PKO, the obligation to fill it out arises not when money arrives at the cash register, but when it is issued. But as in the case of PKO, RKO is drawn up under the signature of the chief accountant or his deputy. In addition to this, the paper is endorsed by the cashier, as the person responsible for the issuance and the recipient of the cash.

In 2015 and subsequent years, only legal entities-entrepreneurs are required to fill out the cash settlement form, since since June 2014 such an obligation was legally removed from individual entrepreneurs.

The latter no longer need to prepare any documents related to the category of cash discipline, including cash books.

What does the RKO form look like?

Expense cash order: filling rules

A sample of filling out the RKO is available to anyone, but in addition to seeing it, you also need to know the rules for filling it out.

These rules are quite simple, but without them successful reporting is impossible.

  • The first line is intended to indicate both the name of the organization conducting the RKO and the legal form of its activities.
  • If the company has an OKPO code, then it fits into the appropriate column. It must completely coincide with data from Rosstat. If it is missing, then you can put a dash, as in other cases when the line is not filled in.
  • When filling out papers not by the parent company, but by its structural division, the name of the latter is entered in the column intended for this.
  • In the field intended for the document number, the cash settlement number is entered based on continuous numbering from the beginning of the calendar year.
  • The date entered in the required line must coincide with the day when the money was actually issued from the cash register.
  • In the line allocated for this, structural divisions enter their code. Otherwise, a dash is placed, as noted above.
  • The account number on the debit of which money is issued must be indicated in the column “Corresponding account, subaccount”. To fill out, you need to check the accounting chart of accounts:
  1. If a deposit is made to a bank account – 51;
  2. If money is needed for settlements with contractors or suppliers - 60;
  3. If they are needed to pay salaries - 70;
  4. For settlements with all kinds of accountable persons – 71;
  5. With employees, but not in terms of wages – 73;
  6. Payments of income to founders – 75-2.
  • If the company does not have an analytical code, then a dash must be placed in the corresponding column.
  • The credit account number for which cash withdrawal from the cash register is displayed is indicated in the “Credit” line.
  • The amount should be indicated in numbers on one line and in letters on the next line below. Kopecks are also indicated in numbers in the latter version.
  • If a target coding system is used, then it is necessary to fill in the line that is intended for this.
  • The column provided for this purpose indicates the name of the person or the name of the organization to whom cash is issued from the cash register.
  • The next line indicates the reason and purpose for which the payment was made.
  • If documents are attached to the RKO, then their details are entered in the “Appendix” line.
  • In the appropriate lines, fill in the information for the head of the legal entity and its chief accountant. They also put their signatures.
  • The recipient's information is also indicated. He fills out the columns himself, entering the amount given out in letters (if there are kopecks, then they are in numbers). At the end he puts his own signature.
  • The cashier writes out the data from the document, which is evidence of the recipient’s identity. Usually this is a passport.
  • The cashier fills out the line with personal information and his signature only after he hands over the money to the recipient.

Correcting any errors after filling out is strictly prohibited. The head of a legal entity is not required to sign directly on the document if he signed the papers from the attachment.

The completed order does not need to be given to the cash recipient - it remains in the cash register.
