Any company with which you plan to enter into an official employment contract will ask you to bring a certain set of documentation when you join, which is not taken out of thin air, but is determined by legislative acts and the need of the company itself to report on each of its employees.

At the same time, there is a list of what each company will require from you, but there are documents that are not always asked for in every company. This usually depends on the type of activity.

The regulating law in this matter is article number 65 of the Labor Code of the Russian Federation. It contains a list of required documentation.

List of documents

Passport

You need a document with which you can establish the identity of the future employee.

In this case, there are several options when the provision of labor is not required:

  • If this is the applicant's first job. Then the employing company will become the designer of the first working person.
  • In case the document was damaged or lost. Then you will need to provide a statement indicating this reason. The HR department, in turn, fills out a new one.
  • When you get a job based on the principle of combining.

Throughout the entire time an employee works in a particular company, the employment record will be kept by the employer, and it will be issued only upon termination of the employment contract.

Insurance certificate

We're talking about SNILS. As in the case of the previous document, the pension document is filled out by the employing company if the person is employed for the first time.

Military ID

According to the requirements of the law, this document must be provided to everyone who is a citizen liable for military service. It can also be replaced by a registration certificate.

Education document

Some companies ask you to bring, in addition to the diploma itself, a supplement with grades. This usually plays a role for the company when the device goes along the profile. In general, this document is needed to verify the qualifications of the applicant.

In addition to the standard diploma, some industries require an additional document. Usually this is confirmation that a person has trained in a specific profession. One of the options is a truck crane operator, an excavator operator, and so on. Such professions also require passing an annual knowledge test. If an employee works in a specialized company, management usually organizes the necessary events themselves. After passing, a record of this is made in the document.

If the position also involves performing the duties of a driver, then a driver’s license for a specific type of vehicle will be required.

Certificate of criminal record/no criminal record

Such a document is associated with professions and organizations limited by law, where otherwise it is impossible.

Medical certificate

The certificate is required in form 086/у.

Such a document is associated with those industries where there is a certain risk to health (as an option - the medical industry).

The reference document specifies contraindications for a specific type of work.

In addition, a medical certificate is asked for from persons who want to get a job but have not reached the age of majority. This is done because, under certain circumstances, a health care provider prohibits a person from participating in specific activities. As an option, work at a PC monitor when you have eye problems.

Note: Also, when applying for a job that involves employment in the Far North and some other areas, additional medical permission will be required.

Important! A passport is the most important document in the matter of admission to a position. And if in some cases, other papers may become optional, then without a passport they cannot be accepted anywhere.

Peculiarities of registration of employees for individual entrepreneurs

If an employee is registered to work in an LLC, there will be no nuances regarding funds.

The company automatically registers with them according to the data reported by the tax office.

With individual entrepreneurs it is a little more complicated.

As soon as the first employee is hired, you will need to register with the funds yourself. This means that an entrepreneur or accountant will need to take sets of documents there.

We submit the following documents and certified copies to the Pension Fund

  • an application requesting registration of the employer with the Pension Fund of the Russian Federation, written in one’s own hand;
  • a copy of the passport (first page and with registration);
  • copies of the order for hiring the first employee and the employment contract with him.

You have only 30 days . The Pension Fund of Russia will register the entrepreneur within five days .

to the Social Insurance Fund (within 10 days):

  • application for registration with the Social Insurance Fund (a sample can be downloaded from the Social Insurance Fund website or obtained from a fund branch);
  • copies and originals of the passport , its registration certificate
  • copies and originals of the order to hire the first employee, the employment contract with him and the work book with a record of employment.

What else is required to get a job?

If you carefully read the legislative acts, you can understand that requiring any other documents from the company is prohibited. However, in reality, everything is different, because companies that hire a person usually ask for a number of other things:

Application for employment. It is compiled directly by the employee himself during the hiring procedure. Subsequently, the company’s employees file it in the employee’s personal file.

Usually they ask for three pieces. Again, this is required so that you can fully fill out your personal file.

TIN

Certificate of income in form 2-NDFL. Taken from the previous place of employment. In most companies, it is issued automatically upon dismissal. The employee can also request it himself. It is especially useful to provide such a certificate when the previous position was well paid. Because it is on the basis of this certificate that calculations for the payment of hospital benefits in the new place will be made.

Characteristic

Sometimes an employer, if hiring an employee for a responsible position, asks to bring a review or reference from the previous employer. If the employee’s relationship with management was good, obtaining such a “certificate” will not be difficult. It’s better to take it immediately upon dismissal. It can serve as a good reason to choose him for a new position if there are several applicants.

Family documents

This includes documents such as marriage certificates, birth certificates of children, disability certificates of relatives, and so on. They are needed to ensure that social payments are calculated correctly and fairly. So, for example, if a future employee can get the right to leave at any time of the year if he is a parent of many children.

Registration

This document is required if the employee is from another city. You need to make sure that there is a specific place to stay.

In those cases when applying for a position related to municipal services, according to the laws of the Russian Federation, the employee must provide several more documents:

Certificates of expenses, property and obligations regarding it. And also the same documents for the spouse and minor children.

Certificate of income for the previous year.

Note: These documents are not included in the list of mandatory ones, but are additional. However, they are usually not discussed and increase the likelihood of being accepted into the position.

International passport of the old and new sample: compare and choose

From 2010 to the present, Russian citizens can receive an old or new type foreign passport. The choice of one or another type of document depends on the set of characteristics and advantages of each of them.

  1. Validity. An old-style passport is issued for 5 years, while a new passport will allow you to travel abroad freely for ten years.
  2. Price. Registration of a regular international passport will cost from 1000 to 2000 rubles. But the state duty for a new passport in 2021 has risen to 5,000 rubles for adults and 2,500 rubles for minors.
  3. Submission of personal data. The new generation passport contains a special chip with information about the owner. The old-style passport is a paper medium in the form of a book with a photograph and personal data printed by machine.
  4. Number of pages. There are 36 pages in the old-style OZP and 46 pages in the biometric passport. The increase in the number of pages is explained by the longer validity period of the new generation passport.

There are other differences that relate to the design of the document.

Bottom line

Many people advise preparing all the necessary documentation during the job search process so as not to waste time in the future. But in fact, you are not obligated to do this.

Employment of a disabled person

A disabled person provides a standard package of documents for employment.

It is important that such an employee is not required to show his medical certificates and reports during employment, unless the nature of the work requires it.

The changes will only affect additional benefits and rights :

  • disabled people must be provided with a comfortable workplace that meets their needs;
  • disabled people have the right to increased paid leave - 30 days;
  • also, a disabled employee at any time request leave at his own expense in the amount of up to 60 days;
  • in no case can company regulations relating to employees create conditions for people with disabilities worse than those of other employees;
  • disabled people of groups I and II have the right to work no more than 35 hours a week, but with the same salary;
  • Like ordinary employees, people with disabilities can be involved in working on weekends and overtime . Naturally, such work should not be contraindicated for a disabled person due to health reasons.

Also, in a special journal, the employee must confirm that he is aware of his right to refuse such work.

Admission of a minor

According to the Labor Code, an employer can hire minors with the following reservations :

  • up to 18 years of age, employees are required to undergo a medical examination at the employer’s expense every year;
  • 31 days of paid leave at any time
  • It is prohibited to dismiss a minor without the permission of the commission on minors' affairs and the labor inspectorate. The exception is the liquidation of a company.

In any case, it is prohibited to accept minors:

  • if the work involves lifting weights ;
  • if the work can affect the moral development of a minor (selling cigarettes, working in casinos, nightclubs, selling alcohol, etc.).

Making a statement

The law does not provide for the mandatory nature of such a document, which means there are no specific requirements for its preparation.

Here are the main points that it is advisable to take into account when an employee writes an application for admission:

  • it is written in one's own hand ;
  • in the header of the application - to whom (position, company name), from whom (last name, first name, patronymic; registered at the address);
  • in the body of the application the following text is usually written: I ask you to hire me at the “name of the enterprise” for the position “where the citizen wants to work” with “expected start date”;
  • The date and signature of the new employee are placed at the bottom
  • in the upper left corner the manager can put a resolution;
  • The accountant must record the document in the employee statements journal.
